How we collect, use and protect information about your family and your child.

Kingdom Montessori (“Kingdom,” “we,” “us”) is operated by [Kingdom Method, LLC — legal name to be confirmed] in Brightwaters, New York. This policy explains what information we collect through our website, kingdommethod.org, and our family portal, how we use it, who helps us handle it, and the choices families have. Most of what we hold is about children, so we treat it with particular care.

What this policy covers

This policy covers our public website, the online application and enrollment deposit, and the family portal where families manage their household, see their children’s enrollment, pay tuition and receive messages from Kingdom. It does not cover the paper forms and conversations that are part of daily life at Kingdom; those are handled under our family handbook and enrollment agreement.

Our website and family portal run on ProSlot, an education operations platform provided by ProSlot BOS LLC. ProSlot operates the platform on our behalf and under our direction. The information you give us belongs to Kingdom, not to ProSlot.

Information we collect

From parents and guardians

  • Your account: your name, email address, phone number and password (or your Google or Apple sign-in). You create this once through the ProSlot sign-in page at proslotbos.com, and it is the same sign-in you would use at any other program or business that runs on ProSlot.
  • Your family: your relationship to the child, your phone number and home address, and the other parents or guardians in your household.
  • Payments: the payment method you choose is entered directly with our payment processor, Stripe. We never see or store full card or bank account numbers. We keep the type, brand and last four digits so you can recognize the method, along with the record of every charge, receipt and refund.
  • Messages: anything you send us through the website’s contact form or the family portal.

About your child

  • At application: your child’s name, date of birth, the program and schedule you choose, and anything you tell us about allergies, medical needs or your family.
  • Once enrolled, as Kingdom needs it and as you provide it: medical conditions, allergies, medications, dietary needs and physician contact; emergency contacts; the people authorized to pick your child up and anyone who may not; attendance and pickup records; and the forms you sign, including your media release decision.

Children do not create accounts or give us information themselves. Parents and Kingdom staff provide it. If Kingdom later gives an older student their own login, that login shows the student only their name, birthday, program and enrollment status.

Collected automatically

  • Error reports: when something on the site breaks, our platform’s error monitoring records the page, the error, your browser and device type, and, if you are signed in, an account identifier. It is built to leave out email addresses, form contents and payment details, and it does not take screenshots on our site.
  • Server logs: our hosting provider records basic request information, such as IP address and time, to run and protect the service.
  • Email activity: emails we send can record whether they were opened and which links were clicked, so we can tell whether important messages reached you.

We do not use advertising cookies, and our website does not run analytics or advertising trackers. The site stores only what it needs to keep you signed in and to complete a sign-in or payment securely. The ProSlot sign-in page uses Google reCAPTCHA to block automated sign-ups.

We do not collect biometric information such as fingerprints or face scans.

How we use information

  • To review applications, enroll children and place them in the right program and classroom.
  • To keep children safe: allergies and medical needs, emergency contacts, and who may and may not pick a child up.
  • To take attendance and to reach you about your child, your classroom and Kingdom.
  • To bill tuition and fees, take payments, send receipts and keep financial records.
  • To run, secure and fix the website and family portal.
  • To meet our legal obligations and to protect the rights and safety of our students, families and staff.

We do not sell personal information, we do not share it for advertising, and we do not use children’s information to build profiles or target marketing.

Health, custody and other sensitive information

Medical, allergy, medication and custody information is kept in a separate, restricted part of your child’s record. Classroom teachers see the health and pickup information for the children in their own classroom, because they need it to care for them. Office and administrative staff see it only when their role requires it. Private notes you give Kingdom are limited to administrators. Every time someone opens a child’s sensitive information, the system records who viewed it and when, and Kingdom can review that log.

This information is kept out of emails, text messages and program-wide lists. It is never sent to an AI system.

Photos of children

We share a photo of a child only if that child’s parent or guardian has signed our media release.

  • In the family portal: classroom photos are visible only to the families and teachers of that classroom. Families see their own child’s name on a photo; other children are not named. Links to photos expire within minutes, so a link copied out of the portal stops working almost immediately.
  • On our website and social media: we use a child’s photo only with a signed release, and we never publish a child’s full name with it.
  • Changing your mind: you can withdraw your release at any time by contacting us. The child’s photos stop appearing in the portal immediately, and we will remove them from our website and our own social media accounts. We cannot recall copies that other people already saved.

Declining the media release never affects your child’s enrollment or place in the classroom.

Messages from Kingdom

We contact families by email and through the family portal. You can choose which kinds of non-urgent messages you receive and how. Enrollment, billing, safety and emergency messages are always sent.

Text messages: we send texts only to parents who agree to receive them. Message frequency varies and message and data rates may apply. Reply STOP to stop texts at any time or HELP for help. Agreeing to texts is never a condition of enrollment, and we never share your mobile number for anyone else’s marketing.

Payments

Tuition, deposits and fees are processed by Stripe. Your card or bank details go directly to Stripe and are never visible to Kingdom. Where a processing fee applies to a credit card or bank payment, the total including the fee is shown before you pay; debit cards are never charged a fee. The terms for automatic tuition payments are in our Terms of Use and your enrollment agreement.

Stripe also processes this information under its own privacy policy to prevent fraud and meet financial regulations.

Who helps us handle information

We share information only with service providers that help us run Kingdom’s online services, and only what each one needs. Each is bound to protect it and to use it only to provide its service.

ProSlot’s support staff can access Kingdom’s records only to operate and support the service for us, and their access to a child’s sensitive information is logged in the same way as Kingdom’s.

We may also disclose information when the law requires it, to respond to a valid court order or subpoena, to protect a child’s safety or someone’s life in an emergency, or when reporting is required under New York’s child-protection laws.

We may add other features in the future, such as an assistant that helps us answer admissions questions. We will update this policy and tell families before any such feature handles personal information.

Your ProSlot sign-in and other ProSlot sites

Because your sign-in is a ProSlot account, the same sign-in and household can be used at other programs, clubs or businesses that run on ProSlot. Those other organizations cannot see your child’s records, enrollment or payments at Kingdom Montessori, and we cannot see your records with them.

Children’s privacy and the laws that apply

Our website and portal are for parents, guardians and Kingdom staff, not for young children. We do not knowingly collect personal information directly from a child under 13; children’s information comes from their parents and from Kingdom.

Kingdom Montessori is a private Montessori program. [To be confirmed: Kingdom receives no U.S. Department of Education funding.] We are not subject to the Family Educational Rights and Privacy Act (FERPA), but we follow its core principles: parents can see and correct their child’s records, and we do not disclose them without a parent’s consent except as this policy describes.

How long we keep information

  • Inquiries and applications that do not lead to enrollment: deleted or de-identified within [2 years] of the last contact.
  • Enrolled students’ records: kept while the child is enrolled and for [7 years] after they leave, or longer where a law requires it.
  • Financial records: kept for [7 years] to meet tax and accounting requirements.
  • Signed forms and consents: kept for as long as the related record, so that we can show what was agreed.
  • Error reports: identifying details are removed after 90 days.

After these periods, we delete information or remove anything that identifies a person.

How we protect information

We use administrative, technical and physical safeguards appropriate to children’s information, as New York law requires. These include access based on each person’s role, logging of every view of sensitive records, encryption of data in transit and at rest, keeping our files off the public internet, and requiring our service providers to protect what they handle. No system is perfectly secure, but we work to keep your information safe and review our safeguards regularly.

If a security breach exposes your personal information, we will tell affected families as quickly as possible and no later than 30 days after we discover it, and we will notify the New York authorities as the law requires.

Your choices and rights

Parents and legal guardians can ask to:

  • see the information we hold about their family and their child, and receive a copy;
  • correct information that is wrong or out of date;
  • delete information we are not required to keep;
  • withdraw a media release or a consent to text messages; and
  • close their family portal account.

Contact us as described below. We will confirm your identity before acting and respond within 45 days. We may keep information the law or our financial records require, and we will tell you what we kept and why.

Separated or divorced parents: both parents have equal access to their child’s records unless Kingdom has been given a court order or legal document that limits one parent’s access or custody. Please give Kingdom a copy of any such order so we can follow it.

Our website links to other services, such as our Instagram page. Their own privacy policies apply when you visit them.

Changes to this policy

We will post any change here with a new effective date. If a change affects how we use information we already hold, we will tell families by email before it takes effect.
